ABOUT THE PROJECT

Girl Friendly Villages is a Pilot project of Plan India, started in April 2022 in 10 villages of Gautam Budh Nagar-UP on Girl Friendly Village project in two blocks of Gautam Budh Nagar UP i.e. Dadri and Bisrak to make the villages friendly, safe and accessible for girls. The pilot will facilitate community development initiatives with girls, boys and adult community members in a collaborative participatory fashion to create localised and innovative practices for making the village friendly and safe for girls. Special focus will be put on facilitating the existing Government schemes for girls such as Beti Bachao Beti Padhao (BBBP) through convergence and coordination with different departments.

This project builds on Plan India’s four decades of Child Centered community Development programming and its existing work on making cities safer for girls. The Safer Cities for Girls project implemented in the capital city of Delhi is a locally led, globally united initiative of Plan International that aims to develop safe, accountable, and inclusive cities with and for girls. The project has played a critical pivot to achieve a step-change improvement in safety for girls leading to gender equality. Considering the learnings from the Safer Cities Project of Plan India the pilot on Girl Friendly Villages project has been designed and implemented.

ROLE & RESPONSIBILITIES

    Development of the project implementation plan with youth groups in 10 project locations.

    Develop in house preparations and sessions as per the project objectives (Adaption and translation of select activities from project in Hindi for field pilots).

    Development of the Project PO in the designated software and its approval etc. Preparing and submitting project QPRs and closer reports. Ensuring budget expenditures are in line as per the approved budget.

    Supervise and guide all the field staff including field facilitator and volunteers etc.

    Conduct monthly meetings with Field staff/volunteers running the centre and champions of change groups.

    Conduct meetings with stake holders to get inputs in the project as well as for the purpose of dissemination with adolescent girls & boys and other local stakeholders such as Gram Sabha, health Deptt, water and sanitation, school teachers, SHGs other government officials of the respective villages/Bisrak & Dadri blocks/districts of Gautam Budh Nagar UP etc.

    Conduct trainings of local stakeholders, youth group of project activities and data requirements.

    Facilitate, manage, monitor and document all project activities that includes mapping of community villages/schools classrooms, baseline study, regular learning assessment, data collection, analysis and reporting through MIS & analytics.

    Work closely with project lead/SPM to contribute to the field level activities implementation plan for all aspects of the Girl Friendly Villages Project.

    Linking the GFVP to other skill building, education and life skill training etc. projects of Plan India and organize activities for youth groups/SHGs accordingly.

    Setting up of the life skill/vocational training centers in GF village centres, conducting trainings etc.

    Ensure capacity development of field team on issues linked to the project activities and objectives.

    Organise community campaigns to promote girls empowerment, education, health, skill building and wellbeing and legal awareness etc.

    Keep MIS & project activities updated with proper documentation.

    Compile and share weekly, monthly, quarterly and annual progress reports as per the Plan India/donor requirements.

    Prepare Champion of Change (COC) session reports.

    Ensure that all records of the project centres are maintained including of youth groups

ELIGIBILITY:

    Post Graduate degree (Or equivalent) in women’s studies/social sciences or Graduate in Social Science background.

    Minimum experience 3-5 years in development field with atleast 1-2 years’ experience in gender issues, project management and field-based implementation of activities, direct engagement with youth groups.

    Must be able to write and speak Hindi and English fluently.

    Experience and skills in community mobilization.

JOB/ROLE OVERVIEW

The incumbent would be responsible for the overall accounting and administration related work and transaction processing matters the assigned project(s). He / She will be accountable to manage statutory compliancesas are applicable to various financial transactions of the project and ensure quality of records and the safe keeping

MAIN RESPONSIBILITIES
1. Financial Accounting :

    He / She shall ensure day today transaction processing in SAP/ accounting of expenditures and advances related to various projects assigned and ensure the same is done accurately and after review of support docs.

    He / She shall prepare cheques, payment vouchers and ensuring that all expenditure payments have proper approval and documentation and that all invoices and payments are paid on time e.g. invoices utility bills, rents, phones, etc.

    He / She shall be responsible for updating and monitoring Advance accounts in the system.

    Keep up-to-date petty cash ledger in the accounting system if applicable.

    In case of partners, process their fund requests and Utilisation certificates on a regular basis.

2. Budget and Cash Management:

    He/she shall support the Zonal Finance Lead / Finance Manager / Project Manager maintaining a cash forecasting system to ensure that adequate funds are available to meet the working requirements of the program unit.

    He / She shall support the LM and Program Lead in preparing/revising project budgets.

3. Procurement and Office Admin:

    He/she shall ensure procurement for projects handled are done as per office policy and procedure. support Inventory reconciliation by ensuring the capture of all project purchases, issues and balances.

    Coordinate with ICO Admin and Procurement on a regular basis for smooth transactions, quality and time bound procurement.

    He / She shall maintain the assets register for the Project(s) and keep it up to date and ensure items are tagged and ensure that new procurements are done only as per approved budget.

    Make recommendations on internalcontrols, accounting systems, and general operations of the accounts departmentto increase efficiency.

4. Audit Support:

    Keep all field level records and vouchers, etc. ready for any time audit by donor, govt.

5. Record Management:

6. Field visits, program & NGO partner monitoring,etc.:

    In case of NGO partners, visit NGO office/finance and review fund utilisation, cross check UC with Tally data and confirm all figs match. Submit reports with recommendations for field visit.

    Give orientation / training to NGO finance staff

QUALIFICATIONS AND EXPERIENCE:

    Minimum of Bachelor Degree or Diplomain Finance and Accounting, Commerce, or Business Administration and Managementfrom recognized Institution.

ABOUT THE ROLE

The Project Coordinator will play a crucial role in organizing training sessions for children, parents, and School Management Committees (SMCs) on various topics. These include Legal Literacy, sessions addressing laws on prevention of Child Marriages, Protection of Children from sexual offences, Equal wages for women, Sexual Harassment at the workplace, Constitutional rights, Digital Learning encompassing cyber safety for girls, methods to report cyber threats, as well as Child Protection and other pertinent subjects. These sessions aim to enhance awareness and capacity building among the target audience.

AN OVERVIEW

Plan International (India Chapter) works in communities of India primarily through sponsorship. There are over a million individual sponsors from 15 National Offices of Plan around the world. Plan’s efforts are to build long-lasting, engaging relationships among children and the sponsored communities. The overall objective is to facilitate the space required for children to participate in promoting global solidarity on issues concerning the rights of children. SUMMARY OF THE OVERALL JOB

The position is responsible for consolidating the Sponsorship reports received from the Program units, and submitting a monthly Sponsorship Update Report to the Asia Regional Office (APAC) in required format. The position is also responsible for monitoring and tracking National Office Inquiries (NOIs), tracking the SP communications received through couriers, especially those getting stuck at the customs hub. Capacity building of the PU staff members, as required. Working with INNO colleagues for maintaining quality and timely communications.

ROLE & RESPONSIBILITIES

    To consolidate monthly Sponsorship Reports (incl. India Production Report, Sponsorship Communication Report, etc.) from PUs and CPUs as per the template

    To submit the consolidated monthly reports (incl. India Production Report, Sponsorship Communication Report, etc.) to the manager – child sponsorship for further process

    To perform monthly caseload analysis, NO-wise as well as status-wise (assigned, unassigned, submitted, and pooled) and share it with the line manager

    To prepare the CMT/ Board presentations based on these reports and forward them to the line manager for review

    To monitor Production Compliance by consolidating PU-wise weekly Production Reports

    To achieve 95% of Sponsorship Compliance requirements in terms of Production compliance, SCU(Sponsor Child Update) Compliance, and SCI (Sponsor Child Introduction) Compliance for Plan India

    To support the International Sponsorship team at the Country Office for various Sponsorship related processes

    To monitor and track NOIs on Child Data System on a daily/ weekly basis

    To follow up with the PUs for resolving all the NOIs as required as per the TAT

    To share critical reassigned NOIs with the line manager for future actions as required

    To perform monthly analysis of the NOIs and share the analysis reports with the Line Manager, All India staff (PUs/ CPUs), Regional Managers, and Sponsorship Coordinators/ Officers through monthly Sponsorship Update Report

    To visit the PUs for monitoring Sponsorship processes (such as records of gifts exchanged, cancelled sponsorship documents, etc.) and identify system gaps, as required

    To prepare and submit field reports detailing the findings, suggestions, and follow-up actions to be taken by the PU

    To facilitate capacity-building workshops for the Plan’s Sponsorship Officers & Coordinators as well as the relevant partner staff for working on Child Data System, responding to NOIs, meeting Sponsorship Compliance requirements, etc.

    To share and exchange good sponsorship practices among the PUs

    To provide induction and orientation of the new Sponsorship staff members at Plan India and its partners

    Review and verification of MIS ( local sponsors) for GH

    Supervise the implementation of servicing packages for local sponsors

    Support sponsor retention by ensuring effective servicing

CORE COMPETENCIES:

JOB/ROLE OVERVIEW

The incumbent would be responsible for the overall accounting and administration related work and transaction processing matters the assigned project(s). He / She will be accountable to manage statutory compliancesas are applicable to various financial transactions of the project and ensure quality of records and the safe keeping.

MAIN RESPONSIBILITIES
Financial Accounting

    He / She shall ensure day today transaction processing in SAP/ accounting of expenditures and advances related to various projects assigned and ensure the same is done accurately and after review of support docs.

    He / She shall prepare cheques, payment vouchers and ensuring that all expenditure payments have proper approval and documentation and that all invoices and payments are paid on time e.g. invoices utility bills, rents, phones, etc.

PROJECT OVERVIEW

Ahana and SCM Strengthening Projects are Plan India’s national program working towards an AIDS-and TB free generation in partnership with the National AIDS Control Organisation (NACO) and Central TB Division supported by the Global Fund to Fight AIDS, Tuberculosis, and Malaria (GFATM). Ahana project focuses on increasing Prevention of Parent to Child Transmission (PPTCT) service uptake among women in most marginalized communities in India.

The “Supply Chain Management Strengthening (SCMS) Project for HIV/AIDS and TB drugs” aims to strengthen the technical capacity of the National AIDS Control Organization (NACO), Central TB Division (CTD), State AIDS Control Societies (SACS), and State TB Cells (STC) to design, manage and monitor supply chains for improved access and availability of high-quality ARVs, TB drugs, diagnostics and other commodities across India. The Project is led by Plan International (India), the Principle Recipient (PR) for the HIV and TB Supply Chain grant under the Global Fund to Fight AIDS, Tuberculosis, and Malaria (GFATM) for India to support NACO’s response to AIDS epidemic and Central TB Division (CTD) towards TB elimination.

The SCMS project will be implemented by Plan International (India Chapter) as PR in collaboration with JSI R&T India Foundation as Sub-Recipient and 3PL services providers by the private sector. JSI R&T India Foundation as Sub-Recipient (SR) is mandated to provide technical assistance for the improvement of the supply chains of ARV, TB drugs, diagnostics, and other commodities under NACP and NTEP at regional and state levels

POSITION PURPOSE

The Consultant – Administration will be reporting to the Project Director and dotted line reporting to Senior Manager-Operations will be responsible for supervising, strengthening and managing the operations portfolio of the project. The incumbent will be responsible for planning, supervising and controlling the delivery of administrative, logistical, and legal services. This includes managing daily operations, and planning administrative services. S/he will be responsible for the management of the overall quality and efficiency of operations.

KEY FUNCTIONS AND RESPONSIBILITIES

    Ensure procedures and standards are applied consistently,

    Ensure Plan India’s performance management procedures and standards used to induct, manage and develop staff members are adhered for development of operations team,

    Implement all procurement activities well in advance as per approved budget and annual procurement plan;

    Oversee the procurement process and ensure that the procurement is completed in time and in a very cost effective manner for goods and services;

    Lead the bidding process in case of high value procurement. Make sure all the requirement as per the bidding policy are followed to ensure transparency;

    Arrange and follow Plan India’s purchase / procurement policy and purchase /procurement guidelines and norms for all type of procurement (goods and services);

    Work with purchase committee for all purchase as per the organization policy;

    Lead and manage the market survey in order to assess the market trends and to know average costs of material/items needed by Plan India, availability of types of goods/materials and services and share the same to the management;

    Undertake field visits to understand the nature of suppliers in the field area (i.e. When procurement happens in the field);

    Recommend deviations with alternate procedures to the management where Plan India processes cannot be implemented;

    Maintain market price/rate of all goods/materials generally purchased by Plan India;

    Ensure Plan India’s procurement norms are accordance with the local statutory requirement. Any difference should be brought to the attention of the management;

    Ensure vendors/suppliers list with their contact details is maintained and updated on regular basis.

    Ensure procurement files are maintained in an appropriate fashion and order including – requisition, quotes/bids, comparison, evaluation, approval, contract/purchase order, delivery note etc. for each purchase;

    Make sure that the goods are safe and secured against damaged including insurance coverage;

    Ensure a high quality service in the communication with external customers and clients through reception, telephone response, mail reception and dispatch;

    Supervise and coordinate the booking-system for local, national and international travel and transport of the project staff;

    Define minimum standards and maximum amounts for travel-related accommodation and subsistence expenditure;

    Elaborate and regularly update essential information on available venues for accommodation and events in key cities;

    Issuing security advisory to staff travelling to/ within/outside India;

    To promote the development of appropriate security information networks relevant to all Plan India teams working in India.

Legal Responsibilities

    Manage all Service and Purchase Contracts with external contractors;

    Support other departments in the elaboration and revision of agreements with partner organizations;

    Liaise with Government authorities /agencies in order to maintain smooth functioning of Plan’s work in the country;

    Coordinate with legal advisor for all agreements other than the labour contracts;

    Serve as primary liaison to legal counsel in addressing legal issues e.g. copyright, antitrust, governing instruments, partnerships, licensing etc.

    Oversee organizational insurance policies of the project.

Basic Requirements

    Post Graduate with minimum 8 years progressive experience in administration function of middle to large scale organization;

    Experience in an International Development Organization would be an advantage;

    Excellent lateral co-ordination and resourcefulness traits;

PROJECT OVERVIEW

Plan India has started implementing KP grant- Community based solutions for advancing Social and Health equity funded by The Global Fund. The project aims to overcoming wider barriers to economic, social, legal, and environmental blocks and ways to overcome persistent shocks. Creating pathways that go beyond line departments and stakeholders provided through the national program. Build grassroots capacity to advocate and create access to services, thus creating social capital for the program.

The Coordinators-M&E will support in overall project monitoring, evaluation and research efforts in the project states across country. S/He shall work to develop and implement monitoring, evaluation and reporting (MER) systems that include appropriate indicators, targets and plan to evaluate performance and produce timely, accurate and complete reporting. S/he will analyze and guide in utilize monitoring data to minimize programme gap, maximize program impact and meet donor compliance requirement. This involves the development and implement the project implementation plans, M&E work plan and collaborate and maintenance stakeholder relations with other programme components and partner organizations towards effective monitoring and reporting. The M&E Coordinator is also responsible for providing technical advice and build capacity of the SR staff in the area of programme, monitoring & evaluation.

KEY FUNCTIONS AND RESPONSIBILITIES

M&E coordinators will perform primarily on below M&E components

Developing M&E plan – MIS framework:

    Identify, demine and measure the right process, output and outcome indicators towards effective performance monitoring system.

    Ensure implementation of relevant M & E tools and platforms, and provide M & E specific technical training, mentoring, and coaching to NGO partners in the above mentioned States.

Developing and implementing digital MIS platform for routine data collection:

    Develop digital platform for collection of regular project data collection and analysis systems to ensure that program interventions are effective;

    Verify, validate and prepare the state report for meeting donor compliance

Capacity Building:

    Develop SR implementation team’s capacity on M&E, documentation and reporting across the project team and in the districts covered under the project;

    Develop State Level M&E action Plans in alignment with the Project M&E plan for improving quality of reported data and to enhance data use for program planning and monitoring in the project implementation states;

    Develop and oversee the implementation of the project monitoring plan (PMP) in the project implementation states;

    Mentor and help in building capacity of partners M&E staff and/or key M&E positions within the program.

Donor Compliance:

    Ensure that reports from partner organization in the operational state are received on time, provided feedback on them and contribute in their final compilation for submission to donors;

    Support program and staff and senior management to use data to make informed and timely decisions related to program implementation;

Data Quality Assurance Mechanisms and Supportive supervision:

    Strengthen availability and use of high quality data for decision making at all levels of the project;

    Carry out Onsite Data Verification Visits (OSDVs) to check and very the data quality and project quality;

    Strengthen Plan India’s and NGO partners data management and quality improvement systems ensuring that data is audit worthy and readily available. Where problems exist, support the identification of solutions;

M&E Coordination:

    Ensure successful partnership with state and district M&E Cells of National Health Missions and M&E Cells of State AIDS Control Society in the operational states and help states in developing Coverage, Improvement Plans with greater role for operational states with special focus on underserved areas;

    Remain up to date on good practices and developments in M & E of PPTCT country program in order to ensure program quality and impact

Information Products, Dissemination and Use:

    Compilation, Documentation and dissemination of reports of various activities undertaken by supervisors, team members, internal and external partners as per the requirement;

    Submit abstracts on studies/ evaluation/ best practices and attend national and international conferences;

    Develop and share performance feedback reports to SRs to guide and towards improving performance;

Basic Requirements:

    Experience in developing and managing mobile application-based MIS

ABOUT THE PROJECT

Plan India is implementing SARTHAK Phase II aiming to strengthening Justice Delivery System for Child Survivor of Gender Based Violence or child sexual abuse as well as creating mechanism in the districts of Medak in Telangana and Khurda district in Odisha. The aim of this project is to improve the access to justice system by the families (Parents) and the child survivors by strengthening investigative, legal and support services through collaborative efforts with the District Child Protection Units (DCPU) in respective districts; more in particular in collaboration with the Child Welfare Committees (CWC) in the project districts. KEY FUNCTIONS / RESPONSIBILITIES

    Overall management of the project including development of quarterly and annual plans, budget outlays, fund management, preparation of the project and maintain them as per the systemic requirements of an intervention state.

    Ensure the quality implementation of the project in timely manners as per Plan India’s institutional grants standards and donor reporting being done in timely manner with specified quality in collaboration with the state team of Sarthak and with the Grant Management team within Plan India based in Delhi.

    Ensure quality reporting of the project (state intervention) as per the agreed clauses with the donor and timely submit the report to the Manager – Sarthak project. This will include annual and quarterly narrative and financial reports, case studies of good practices. Also adhere to other reporting requirements as per the donor’s reporting compliances and as it may be asked by the Project Manager.

    Work closely with the Project Manager and Lead – Gender Based Violence Projects to develop impact framework for the project accordingly support the field team to provide data and evidences for the quality reporting

    Lead capacity building trainings and provide mentoring support to the project staff based in the state as per the requirements of the project.

    Ensure the regular supportive supervision to the project team involved in implementation of project activities in the state, provide necessary feedback to ensure timely accomplishments of all planned activities with optimal quality.

    Anchor and facilitate the quarterly and annual review meetings of the project in the state as compared to annual plan, M&E indicators and impact framework.

    Ensure liasoning with all relevant stakeholders such as State Legal Services Authority (SALSA), District Legal Services Authority (DALSA), CWCs Child Care Institutions, Police Stations/ Department, Judiciary, Department of Women and Child Development and other relevant departments and state level officials to ensure convergence with their ongoing programmes, also to explore opportunities of new partnerships with local authorities, NGOs working on education, child protection, psycho-social care, counselling which are relevant to the project.

    Development of Standard Operating Procedures on family re-integrations and community-based rehabilitation of the survivors of GBV/ CSA in collaboration with relevant Govt. department/s.

    Run/ facilitate project events, training sessions, consultations through online and face to face as appropriate

EDUCATION AND EXPERIENCE

    Post-graduation in Law, Sociology, Gender studies and other relevant stream with at least 3-6 years of relevant experience

    An excellent command of both written and spoken English. Fluency in Hindi will be an advantage. Additional knowledge of other Indian languages will be considered an asset.

Plan India is implementing SARTHAK Phase II aiming to strengthening Justice Delivery System for Child Survivor of Gender Based Violence or child sexual abuse as well as creating mechanism in the districts of Medak in Telangana and Khurda district in Odisha. ABOOUT THE PROJECT

Plan India is implementing the project, Balika Shivir-Accelerated Learning Centres for Girls in the states of Jharkhand (Hazaribagh and West Singhbhum district) and Rajasthan (Udaipur and Bikaner district). The project targets to reduce the vulnerabilities of the drop out of adolescent girls of 13-18 years of age and young women of 19-24 years to complete their education (through National Institute of Open Schooling) and skilling through reputed training Institutes, of Government of India.

SUMMARY OF THE POSITION

Over a span of three years, the project will reach to over 3600 drop out adolescent girls and 3600 young women who are not enrolled in education, employment and training (NEET) in the targeted intervention states. The Livelihood Network Facilitator will be responsible for coordinating with district teams of effective delivery of Vocational trainings to NEET young women. Further to this, he/she will be responsible for branding of products, creating market linkages and establishing connect with different stakeholders at village, panchayat, block, district and state level

  • To provide timely resolution of queries raised by corporate donors
  • To review and ensure timely submission of donor reports to all the corporate donors
  • To ensure timely, accurate and effective donor servicing in terms of the standard processes, such timely dispatch of donor receipts, tax certificates, sharing the annual reports, etc.

  • To maintain an active pipeline of prospective corporate partners to meet Fundraising targets for Corporate partnerships as per the mandate (twice the fundraising target)
  • To maintain a pipeline for closures and realizations in the financial year comprising both new and existing corporate partners

PARTNERSHIP AGREEMENTS

  • To provide inputs for the creation of grant agreements/contract with the corporate partners to ensure they meet donor requirements
  • To review the grant agreements to ensure compliance to Plan India’s procedures, system and ethical guidelines issues (incl. the CP policy)
  • To manage the grant agreements for corporate partners in terms of seeking extensions or tracking under-spends

  • Graduation; MBA (preferred)
  • 8-10 years of relevant experience

SUMMARY OF THE OVERALL JOB

Fundraising Manager will be responsible for the ongoing implementation, oversight and management of our in-house face to face fundraising team, to achieve set income and growth targets around donor acquisition, retention and quality. Position holder will also be responsible for developing and implementing fundraising strategies for the organization to support its welfare projects.

KEY FUNCTIONS / RESPONSIBILITIES

  • Providing leadership and guidance to the individual fundraising team in developing core and technical competencies through training and developing staff skills, capabilities, and capacities.
  • Developing robust and ambitious income and expenditure budgets (including global investment funds) and clear action plans to ensure delivery on, or ahead of, target.
  • Strengthening support/operational systems and mechanisms that underpin the delivery of Plan India’s strategic objectives for individual fundraising.
  • Lead the long-term strategic planning, development, and implementation of individual fundraising activities within the country in order to optimize fundraising and revenue potential with a key focus on optimizing and developing pledge acquisition channels.
  • Provide leadership, management, and oversight for the Individual fundraising team (and to ensure the implementation of the strategic plan for individual donors, including in terms of vision, strategic focus, and planning.
  • Lead on the development of creative, generating, engaging and inspiring fundraising materials for every channel

EDUCATION AND EXPERIENCE

  • 8-10 years of relevant and progressively responsible professional work experience in managing an individual donor fundraising programme together with a proven track record in driving income growth; equivalent direct marketing experience in a commercial context will be considered as a qualifying experience.
  • University degree in Business Administration, Marketing, Communications, Fundraising, or a related field
  • Significant experience in managing teams to deliver on financial outcomes.
  • Knowledge of, and experience in, India is an advantage, as is knowledge of, and experience in, other emerging economies, as well as experience of working in international organizations.
