SUMMARY OF THE OVERALL JOB
The Admin Officer will be responsible for ensuring the smooth and efficient functioning of office administration and facilities management at Plan India. The role will oversee office operations, vendor management, infrastructure maintenance, asset management, record keeping, and administrative compliance to create a safe, productive, and well-managed work environment. The incumbent will work closely with internal departments and service providers to ensure that administrative services are delivered efficiently and in accordance with organizational policies and procedures.
KEY FUNCTIONS / RESPONSIBILITIES
Office Administration & Facility Management
- Ensure smooth day-to-day functioning of office operations and facilities.
- Monitor office maintenance, housekeeping, security services, and utility management.
- Coordinate office repairs, maintenance contracts, and infrastructure requirements.
- Ensure availability and upkeep of office equipment, furniture, and supplies.
- Maintain a safe, secure, and conducive work environment for staff and visitors.
Asset Management
- Maintain and update organizational asset registers.
- Ensure proper tagging, tracking, and verification of organizational assets.
- Coordinate periodic physical verification of assets and inventory.
- Support asset disposal and replacement processes as per organizational guidelines.
Administration Compliance & Documentation
- Maintain administrative records, contracts, licenses, insurance documents, and statutory registrations.
- Ensure timely renewal of office-related licenses, permits, and agreements.
- Support internal and external audits by providing administrative records and documentation.
- Ensure adherence to organizational policies, procedures, and compliance requirements.
General Support
- Provide administrative support to various departments as required.
- Support implementation of cost-saving and process-improvement initiatives.
- Undertake any other responsibilities assigned by the reporting manager.
ELIGIBILITY (EDUCATION AND EXPERIENCE)
- Graduate/Postgraduate/MBA in Operations, Management, or related field.
- 4–5 years in Operations/ HR generalist/administrative roles; NGO sector experience preferred.
- Strong interpersonal & communication skills
- Quick learner and team player
- Ability to take on additional responsibilities.
- Candidates with roots in Delhi / NCR with willingness to travel pan-India on requirement basis.
