Plan India seeks to recruit a highly motivated, results-driven Manager for the Individual Fundraising portfolio. The ideal candidate would be experienced in capturing and highlighting Donor data trends, donation management operations, CRM, donor servicing and customisation.

Job Purpose

The incumbent will be responsible to develop and effectively run the entire Donations back end Operations, Servicing and robust data management system using CRM.

Key Responsibilities

Data analysis

  • Data Mining of CRM to provide regular key insights on donor profiles, trends and patterns taking into account various parameters.
  • Responsible for dashboard and MIS on achievement and targets on regular basis.
  • Data management and monitoring in CRM

Operations

Data management

  • Ensure timely receipt/deposition and entry of donations from offline and online channels.
  • Ensure data reconciliation and reporting done as per defined timelines.

CRM management

  • Ensure smooth functioning of CRM through co -ordination with internal and external partners.
  • Ensure relevant staff trained in handling the software.
  • Identify needs and guide the agency on module development / change requirements.
  • Prepare and generate periodic reports for MIS and data analysis through the CRM

ECS and NACH processing

  • Ensure all ECS and NACH processing happen as per defined process /timelines.

Payment

  • Ensure accurate documentation and timely payment of agencies and vendors within due date.
  • Track agreements to ensure validity and timely renewals.

Servicing

  • Be responsible for ensuring prompt acknowledgement of donations and responding to queries raised by donors.

Candidate Requirements

Experience

  • Minimum 8-10 years of relevant and progressively responsible work experience
  • Expertise in data management and analysis.
  • Significant experience in managing similar job responsibilities

Skills Required

  1. Strong data mining and analysis skill
  2. Excellent knowledge of MS Office
  3. Knowledge of CRM system and similar software’s

Education

  • University degree in business administration, finance, statistics or a related field

SUMMARY OF THE OVERALL JOB

The position is responsible for coordination with respect to international / local grants received by Plan India, ensuring overall MIS and reporting on grants received from Plan International and other donor agencies and support the grant audits. The position is also responsible for preparing grant related financial reports, meeting the financial standards and compliance requirements of the grants and manage the audit requirements during grant audits.

KEY FUNCTIONS / RESPONSIBILITIES

  • GRANTS FINANCIAL MANAGEMENT
    • To create Grant and Funding Bundle in SAP.
    • To attach WBS line with Grant and Funding Bundle in SAP.
    • To manage the changes in the FAD in SAP system and complete SAP requirements for closure of the FAD
    • To prepare and review Indicative funding sheet on regular bases for ensuring data accuracy.
    • To prepare and review Cost / Overhead recovery data and ensure that it is charged regularly to the respective Grant.
    • To prepare and review Grant Income reconciliation data.
    • Prepare GRANT financial reports in compliance with donor requirements specified in the FAD (Fund agreement document), ensuring accuracy vis-à-vis the SAP.
    • Prepare various grants financial reports/reconciliations required by the ARO/IH/NO, ensuring compliance to timeliness and accuracy.
    • Prepare Grant budgets for new proposals
  • GRANTS FINANCIAL MONITORING AND REVIEW
    • To ensure monitoring and review on Monthly basis of grants budgets and actual utilisation
    • To support Senior Manager – Grants in preparing the MIS and analysing the report.
    • Support the management in decision making through reporting on the grant based reports
    • To support in accurate financial reports for the grant projects for effective management of organisation.
    • To provide support for development of various Grant financial processes in line with the organisational needs and ensure their alignment with the Plan’s accounting standards.
    • To support in the monitoring of financial risk for Plan India related to Grants Management.
    • To keep properly Grants financial records & documents
  • INTER-DEPARTMENT LIAISIONING & SUPPORT
    • To provide required support to the Programme Implementation team for detailed budgeting
    • To support and coordinate with teams on financial planning, monitoring and reporting of grant projects
  • GRANT COMPLIANCE & AUDITS
    • Track the grants which require an audit process to be carried out in accordance with the Grant requirements.
    • To coordinate and support in audits

EDUCATION AND EXPERIENCE

  • Commerce Graduate / post graduate / MBA with experience of IT systems & SAP
  • 5-8 years of relevant experience

The queries/clarifications sought by the prospective bidder, the following Responses are being issued:

1. Shall we need to submit both hard and soft copy of the bid? As already stated in the bid document, both hard and copy of the technical and financial bid will be submitted in different enveloped.
2. In which name, bid security will be submitted? As already stated in the bid document, bid security will be in favor of Plan International (India Chapter).
3. What do you mean by the organogram? Describing the organisation staff and reporting structure.
4. How the amount of the performance security would be calculated? As already stated in the bid document, the successful bidder shall submit an irrevocable bank guarantee of 5% of the total bid cost as performance security which should be valid for entire contractual period and addition six months after the date of completion of contract.
5. What is the 70% of coverage in minimum eligibility criteria? As already stated in the bid document, bidders should have current operations covering at least 70% of the country either directly or through associate partners/affiliates.

In case of the bidder is not present across the country, a detailed plan on how the bidder will cover the remaining part of the country should also be enclosed with the bid
6. What would be the quantum of budget for this project? This will depend on the cost mentioned in the financial bid by successful bidder.
7. What would be the mode of transport for the product distribution? It is depending upon the geographical location coverage either by road or air or shipping.
8. For how many years, audited financial statement would need to submit? As already stated in the bid document, year wise certified audited financial statements for last thirteen years or less applicable. In case, audited financial statement is not available for financial year 2017-18, bidder may submit provisional certificate for F.Y 2017-18.
